Our commitment to your privacy International House Malta is the controller of the personal data you disclose to us and is therefore responsible for your personal data under applicable law. IH Malta is committed to protecting the privacy of our customers. This privacy policy (the “Privacy Policy”) applies to all personal information collected by us, or submitted to us, whether offline or online, including personal information collected or submitted through our website and any mobile sites, applications, widgets and other mobile interactive features (collectively, our “Apps”), through the official social media pages that we control (our “Social Media Pages”), and through HTML-formatted email messages that we send to you (collectively, including the Social Media Pages, Apps and websites, the “Sites”). By visiting the Sites you are accepting and consenting to the practices described in this Privacy Policy. If you do not agree with any of its terms, please do not use the website or submit any personal information. ## 2\. Personal information “Personal information” is information, or pieces of information, that could allow you to be personally identified, such as: - Name - Postal address, including billing and shipping addresses - Telephone number, including home and mobile numbers - Email address - Credit and debit card number - Social media account ID - Country of residence - IP address - Preferred educational courses - Browser and device information - Server log file information - Information collected through cookies, pixel tags and other technologies - Demographic information and other information provided by you - Location information - Aggregated information ### How we collect personal information We and our service providers may collect personal information in a variety of ways, including: - Through the Sites — for example when you request a quotation, send an enquiry or sign up for a newsletter. - Offline — for example when you contact the school by telephone or in person. - From other sources — such as public databases, joint marketing partners, social media platforms, people you are connected to on social media platforms, and other third parties. If you choose to connect a social media account to an account with us, certain personal information from that account will be shared with us. - Through your browser or device — certain information is collected by most browsers or automatically by your device. We use it for statistical purposes and to make sure the Sites work properly. - Through server log files — your IP address is a number assigned to your computer or device by your Internet Service Provider. It is logged automatically in our server log files whenever a visitor uses the Sites, along with the time of the visit and the pages visited. - Using cookies — cookies allow a web server to transfer data to a device for recordkeeping and other purposes. If you do not want information collected through cookies, most browsers offer a simple way to decline them. See our [Cookie Policy](https://www.ihmalta.com/cookie-policy.html). - From you — information such as date of birth, gender and postcode, as well as your preferred means of communication, may be collected when you voluntarily provide it. - Physical location — we may collect the physical location of your device. Where a third-party payment service is used to process a payment, your personal information may be collected by that third party rather than by us, and will be subject to that third party’s privacy policy rather than to this one. We have no control over, and are not responsible for, that third party’s use or disclosure of your personal information. ### Campaign links and where you came from When we publish a link to this website — in a newsletter, in an advertisement, or on a partner’s site — we sometimes add a marking to it (a “UTM” tag) that records which of our own campaigns the link belongs to. If you arrive through such a link we keep that marking, together with the name of the website that sent you and the page you arrived on, in a first-party cookie on your device for 30 days. We use it for one purpose: so that when you send us an enquiry or make a booking, we can see which campaign brought you to us. It is not used to build a profile of you, it is not shared with anyone else, and it is not connected to you as a person unless you choose to send us a form with your details on it. We record only the name of the website that referred you, never the address of the page you were reading there. If you arrive without a campaign link and not from another website, nothing is recorded and no cookie is set. This is separate from the optional cookies described in our [Cookie Policy](https://www.ihmalta.com/cookie-policy.html), which record which pages you read and are used only if you accept them. If you decline optional cookies, or withdraw your acceptance, this campaign information is deleted along with them. ### How we use personal information We may use personal information: - To respond to your enquiries and fulfil your requests — for example to prepare a quotation, answer a question or send a newsletter you asked for. - To send you administrative information, for example about changes to our terms, conditions and policies. Because this information may be important to your use of the Sites, you cannot opt out of receiving it. - To complete and fulfil your booking — to process payments, arrange your course, accommodation and transfers, communicate with you about your booking and provide related customer service. - To provide you with updates and announcements about our courses, promotions and programmes, and to invite you to take part in special programmes. - To allow you to contact and be contacted by other users through the Sites, where the relevant Site permits it. - To permit you to take part in message boards, chat, profile pages, blogs and other services to which you can post information and materials, including our Social Media Pages. - For our business purposes — analysing and managing our business, market research, audits, developing new courses, improving our services and the Sites, identifying usage trends, measuring the effectiveness of our campaigns, tailoring the experience and content of the Sites, and gauging customer satisfaction. - For statistical purposes and to ensure the Sites function properly, using information collected by browsers or your device. - To provide location-based services and content, where you have allowed us to use your device’s physical location. - As we believe to be necessary or appropriate: under applicable law, including laws outside your country of residence; to comply with legal process; to respond to requests from public and government authorities, including authorities outside your country of residence; to enforce our terms and conditions; to protect our operations or those of our affiliates; to protect our rights, privacy, safety or property, or that of our affiliates, you or others; and to allow us to pursue available remedies or limit the damages we may sustain. Your personal data is processed by IH Malta both within and outside the EU/EEA/Switzerland, primarily to complete your booking, to provide the products and services you have ordered, and for customer service and marketing. The business partners we share information with are only those who need access in order to deliver what you have booked — such as transport, accommodation or partner schools — and they receive only the information necessary for that purpose. No business partner receives your personal information for their own marketing purposes. You should be aware that many countries outside the EEA do not give personal information the same legal protection as countries within it. Transfers are made in accordance with applicable legislation, and we take the necessary measures to ensure that the third parties involved provide an adequate level of protection. Any future hosting or processing organisation we use in relation to the Sites is required to do the same. ## 3\. Security We use reasonable organisational, technical and administrative measures to protect the personal information under our control. No transmission over the internet and no data storage system can be guaranteed to be one hundred per cent secure. If you have reason to believe that your interaction with us is no longer secure — for example if you think the security of an account you hold with us has been compromised — please notify us immediately using the [contact page](https://www.ihmalta.com/contact.html). ## 4\. Access, modification and choices You have choices about how we use and disclose your personal information for marketing purposes. - If at any time you wish to stop receiving marketing communications from us, the easiest way is to use the unsubscribe link in the message you received. You can also tell us by email, telephone or letter using the details in section 10. - We will not disclose your personal information to third parties, including our subsidiaries, for their own direct marketing purposes once you have asked us not to. To make that request, use the [contact page](https://www.ihmalta.com/contact.html) and say clearly that you do not want your personal information shared with subsidiaries or other third parties for their direct marketing purposes. - Changes may not take effect immediately. We will comply with your request as soon as reasonably practicable, and in any event no later than thirty days after we receive it. If you opt out of marketing messages we may still send you important administrative messages, which you cannot opt out of. - To review, correct, update, suppress, delete or otherwise limit our use of personal information you have previously given us, use the [contact page](https://www.ihmalta.com/contact.html) and describe your request clearly, saying what you would like changed and what limitations you would like placed on our use of it. We will comply with your request as soon as reasonably practicable. Despite our efforts, some residual information may remain in our databases and other records. We may also need to keep certain information for recordkeeping purposes, or to complete a transaction you began before making the request. ## 5\. Third-party sites This Privacy Policy does not address, and we are not responsible for, the privacy, information or other practices of any third party, including the operator of any site this website links to. A link on this website does not imply that we or our affiliates endorse the linked site. We may also give you access to third-party functionality that lets you post content to your own social media accounts. Any information you provide through that functionality is governed by the relevant third party’s privacy policy, not by this one. We have no control over, and are not responsible for, a third party’s use of information you provide in that way. We are likewise not responsible for the collection, use and disclosure policies and practices, including the data security practices, of other organisations — such as social media platform providers, app developers, operating system providers, wireless service providers or device manufacturers — including any personal information you disclose to them through or in connection with our Apps or Social Media Pages. ## 6\. Retention period We retain your personal information for the period necessary to fulfil the purposes set out in this Privacy Policy, and for as long as required by applicable law. ## 7\. Use of the Sites by minors If you are over the age of sixteen but under eighteen, you should read this Privacy Policy together with your parent or guardian so that you both understand it. If we learn that we have collected information from someone under the age of sixteen without parental consent, we will delete that information as soon as possible and may disable that person’s access to the website. We offer programmes for children which are bought by adults. To protect children’s privacy, we require parental consent from anyone making a booking or requesting a brochure for one of these programmes on behalf of a person under the age of eighteen. ## 8\. Sensitive information We ask that you do not send us, and do not disclose, sensitive personal information — such as information about racial or ethnic origin, political opinions, religion or other beliefs, health or medical conditions, criminal background or trade union membership — through this website or otherwise, unless we have asked for it. Where it is genuinely needed, for example for insurance or for medical and dietary arrangements during your stay, we will tell you how to send it to us securely. ## 9\. Updates to this Privacy Policy We may change this Privacy Policy. Any change takes effect when the revised policy is published on this website; the date at the top of this page says when that last happened. Continuing to use the website after a change means you accept the revised policy. ## 10\. Contact us Please do not hesitate to contact us if you have any question, comment or concern about this Privacy Policy. You have the right to tell us if you: - do not want to be contacted by us in future; - would like to know what information we hold about you, or would like a copy of it; - believe that any personal information we hold about you is inaccurate, incomplete, out of date or irrelevant; - wish to report a breach of this Privacy Policy.
